Generator Manager

About Bounce:

Northeast Ohio’s first open innovation hub, Bounce, is 300,000 sq. ft. and nine stories of coworking, creative, event and professional office and lab space with more than 50 resident companies. Bounce offers a variety of programs to support tech and non-tech entrepreneurs and small businesses in an exciting, modern space designed to get work done.

Bounce programming includes a technology incubator, software accelerator and a comprehensive growth program for non-tech entrepreneurs and small businesses. Services include coworking and office space, a creative co-op/makerspace, event space and a coffee shop and café. Bounce is for entrepreneurs, freelancers, remote workers, creatives, gamers, startups, small businesses and corporate innovation teams.

Job Summary:

The Generator Manager oversees the day-to-day operations and membership of Bounce’s coworking and public space known as The Generator (which also includes The Workshop). This includes meeting the needs of, and building relationships with, coworking members, day pass users, and the incoming general public to create an atmosphere of connectivity and creativity in the space. In addition, the Manager delivers on key strategies and performance measures to sustain and advance the use of The Generator. This position reports directly to the Director of Community and Partnerships and works in tandem with the Events and Community Manager.  

Key Responsibilities:

  • Overseeing the daily activities of the coworking space and serving as the main point of contact for and master communicator to all coworking members;
  • Managing all member contracts, invoices, logistics and other coworking details while maintaining excellent records and updating coworking software tools (such as OfficeRnD) and other technology platforms;
  • Maintaining and managing the entire list of coworking members, day pass users, guests, and visitors of the Generator while generating data to measure effectiveness of the space in meeting program goals;
  • Developing and executing co-working community initiatives such as events (in collaboration with the Community & Events Manager), promotions and networking;
  • Building and maintaining positive and effective relationships with members that includes initiating communications to keep the internal community and related stakeholders informed and engaged;
  • Assisting with troubleshooting and navigating technology issues that might arise in The Generator space;
  • Leading the implementation of training protocols as it relates to the co-working and workshop spaces;
  • Creating reliable financial reports and collecting payments on time;
  • Addressing potential problems that may arise in The Generator, including planning for potential scenarios that could impact the integrity of the space;
  • Identifying opportunities for space improvement, including but not limited to furniture or technology additions;
  • Maintaining a working knowledge of coworking trends and designing and developing new initiatives as needed to enhance The Generator to ensure its continued relevancy, success and value;
  • Providing daily tours of The Generator, serving as an ambassador of Bounce and all associated programs; and
  • Assisting the Community and Events Manager with event set-up and tear down, which can include removal of equipment, cleaning, and maintenance of equipment.
    Other duties as assigned – we’re a small team, we all pitch in!

 

Physical Demands:

  • Ability to spend significant time standing and walking;
  • Flexible schedule that may include evening and occasional weekend work with a tradeoff of hours in the standard workweek to accommodate. The suggested workweek schedule is 8:00am-5:00pm, with flexibility surrounding scheduled events.
  • Participates in the clean-up of all venues after events and meetings and may perform custodial duties on an as needed basis;
  • Assembles, operates, and ensures equipment is in good working order such as: iPads, laptops, TVs, projector screens, monitors, microphones, speakers, amplifiers, recorders, event furniture, etc.; and
  • Ability to lift and maneuver and setup various pieces of equipment such as: event stage, tables, chairs, and other event materials (that could be up to or over fifty pounds)

 

Skills & Qualifications:

  • Bachelor’s degree with over 3 years of business, management or relevant professional experience
  • Excellent customer service skills
  • Experience working in or at a coworking or community space is preferred
  • Technology savvy, open to learning new software and technology to operate space
  • Strong team collaboration and communication skills
  • Exceptional verbal and written communication skills
  • Comfort speaking in front of large groups
  • Creative and efficient problem-solving skills and a quick learner
  • Strong organization skills and proficiency in the Microsoft Office suite, particularly Excel
  • Ability to work within a small, startup team as a self-starter
  • Startup business knowledge or experience is a plus
  • Non-profit experience is a plus
  • Commitment to the mission and values of Bounce

 

SALARY: $55,000.00

Office Manager

Job Summary:
The Office Manager plays a key role in helping to keep the daily operations and administration of the organization organized, efficient, and welcoming. The Office Manager is passionate about helping Bounce’s clients and developing relationships, while assisting in maintaining a welcoming, creative, and connected work environment for the Bounce team. This position includes serving as the welcoming face to incubator tenants and vendors coming into the office with requests. In conjunction with the Chief Administrative Officer, the Office Manager is responsible for coordinating and communicating with current and potential incubator tenants, maintaining and organizing lease management paperwork, streamlining administrative policies and procedures, and overseeing procurement. In addition, the Office Manager assists the accounting department with documenting accounts payable, accounts receivable, and supporting certain grant reimbursement requests. The Office Manager reports to the Chief Administrative Officer and works closely with the Facility Director, Chief Financial Officer, and Chief Executive Officer as well.

Key Responsibilities:

General Operations

  • Tracking monthly tenant lease agreements, renewals and amendments, updating lease management spreadsheets, facility occupancy spreadsheets, and otherwise supporting all efforts to maximize occupancy of the building and a welcoming community, in collaboration with the Chief Administrative Officer;
  • Providing main office customer service, including answering phones, greeting guests and being the primary point of contact for facility tenants that includes both problem-solving and relationship-building;
  • Developing and maintaining administrative processes, organizational procedures and systems, and updates for the team in collaboration with the Chief Administrative Officer;
  • Supporting the Facility Director with purchasing, file organization, and any compliance-related activities;
  • Taking clear messages and communicating effectively with customers, clients, team members, and management;
  • Updating relevant program or administrative databases as needed;
  • Keeping organized file systems (online and hard copy files);
  • Assisting the executive team with writing letters of support, scheduling meetings, communications with tenants, and event coordination;
  • Managing client engagement letters and respective accounts receivables for various programming fees; and
  • Sorting and distributing of daily mail;

 

Financial Operations 

  • Serving as the organization’s primary procurement officer in ordering supplies and equipment and managing equipment and service contracts;
  • Supporting accounts receivable and accounts payable functions;
  • Support accounting department with administration of certain grant agreements, including, but not limited to, tracking monthly vendor invoices, ensuring team time-tracking requirements are met, and supporting the creation of reimbursement requests as needed; and
  • Making bank deposits at least twice per week.

 

Other duties as assigned – we’re a small team; we all pitch in!

Skills and Qualifications:

  • Associate degree required (B.A. or B.S. preferred) and at least 7 years relevant experience
  • Deep proficiency in Microsoft Office suite
  • Supply management experience
  • Effective written and verbal communications skills
